Guidelines for Best Practice

Background

Making Music East Midlands is committed to keeping its members up to date with developments / activities and to compiling useful data which assists our lobbying on your behalf. This document attempts to define our service levels to you in all these areas. In some cases it is extremely difficult for us to meet the targets we set ourselves without the co-operation of societies and we hope that, in those instances, societies will do their best to respond to us as and when requested.

    Issue Welcome Pack, with notification of Visitor where possible, within 3 weeks of new member advice being received from Central Office.

    Change of Making Music Representative

    Inform Central Office immediately of any change and issue new Rep with CO Registration Form (which they may return to Central Office via email)

    Newsletter

    Newsletter Editor

    Issue Newsletter twice yearly in accordance with published dates.

    Making Music East Midlands Annual General Meeting and Conference

    Secretary

    Notify societies of date and venue as far in advance as possible.

    Issue papers in accordance with whatever requirements are currently in force

    Issue registration acknowledgement within one week of receipt of registration form.

    Elections to MM East Midlands Committee

    Secretary

    Conduct election process in accordance with whatever procedures are currently in force.

    Training events/seminars

    T&D Officer /Sub-committee

    Issue notification of dates/venues/ at least six weeks in advance.

    Surveys/

    questionnaires

    Only issue such documents within regular society seasons (September – June). Allow six weeks for completion and return.

    Recruitment

    Notify Central Office within one week of enquiry. Follow-up phone call to societies who have not joined, or applied for membership within 6 weeks of receiving information from Central Office.

    Acknowledge receipt of a request within 7 days and respond as rapidly as is practical.

    Visiting

    Visitors /Supporters

     

    Review allocation of Visitors at least annually.

    Make initial contact with every society by September and maintain contact in accordance with the Visitor Guidelines published by Making Music Central Office.

    Supply feedback to societies and Region Committee in accordance with the above Guidelines.

    Keep the Making Music East Midlands web site up to date and add links to member societies when available.

  • Feedback: The above levels are targets against which the performances under consideration will be assessed. Making Music East Midlands may from time to time request feedback from selected Making Music Representatives as to the effectiveness of the Committee in attaining these targets.
